摘要
《“十四五”全国档案事业发展规划》明确提出档案事业各项工作要与信息化深度融合。随着越来越多的设备行为被以电子形式记录,若设备档案归档还停留在纸质阶段,既增加工作量,又缺少信息联动,成为严重制约设备管理效率的瓶颈,大数据时代下高校设备档案迈入电子化管理的行列已是势在必行。深入分析探讨我校纸质文件与电子文件在设备档案中的利弊,探索出设备档案电子化管理路径,以该校设备管理系统数据为切入点,将设备档案以电子文件的形式分段上传,简化整理归档手续,方便存储、浏览、检索,实现设备档案增量电子化,存量数字化,除了做到方便快捷的数据共享,还能追溯求源,查缺补漏,对前期设备采购验收等起到监督、督促的作用,为进一步优化档案电子化管理模式提出了借鉴。
“The 14 th Five-Year Plan for the Development of National Archives”clearly points out that informationization and the work of archives undertakings should be deeply integrated.With more and more equipment behaviors being recorded in electronic form,if the filing of equipment archives remains in the paper stage,it will not only increase the workload,but also lack information linkage,which will seriously restrict the management of equipment.In the era of big data,it is imperative for university equipment archives to enter the ranks of electronic management.This paper deeply analyzes the advantages and disadvantages of paper documents and electronic documents in equipment archives,and explores the electronic management path of equipment archives.Taking the data of the school’s equipment management system as the breakthrough point,the equipment archives are uploaded in the form of electronic documents,which simplifies the filing procedures,facilitates storage,browsing and retrieval,and realizes the increment of equipment archives.Stock digitization,in addition to more convenient and efficient data sharing,can also trace the source,check and fill gaps,play a supervisory role in the early stage of equipment procurement and acceptance.It puts forward a reference scheme for further optimizing the electronic management mode of archives.
